A SIMPLE GUIDE TO TRIP PLANNING
Please read this important information carefully, familiarize yourself with it and make sure everyone in your party is aware of all the details so there are no misunderstandings. If you have any questions feel free to contact our office. Then get set for a great adventure!

Helpful Hints Over the years we have learned a lot about trip planning. Here are a few helpful suggestions to ensure everything runs smoothly.

1. Plan Ahead
Get the crew together early, decide on a date and call TOLL FREE 1-800-545-RAFT (7238) for a tentative reservation.

2. Get the Ball Rolling
Have everyone in the party tell their friends and begin to collect deposits from group members or submit credit card payments online.

3. Set a Firm Payment Schedule
We have a strict payment policy that must be enforced to keep operations running smoothly on our end. Please make sure you have all payments in advance to avoid problems. And be forewarned! It is commonplace for a group organizer, or other members of a party, to get stuck holding the ball when someone doesn't show up for a trip. People who "don't have the money now, but are definitely going," should not be included in your reservation. It is better to try to add guests to your party later than to take them off a week before the trip, although availability cannot be guaranteed. So heed this warning and stick to a tight payment schedule to avoid hassles and hard feelings later. Make everyone aware of your schedule and print out our convenient trip record sheet to keep track of payments.

4. Hold a Pre-Trip Meeting
Take this time to distribute important information to everyone in your party. Make sure everyone knows which adventure package they have booked, what is included, check-in and arrival times, and what items they need to bring with them. We will be pleased to send additional travel guides for everyone in your party along with a promotional video, which captures the fun and excitement of all our adventures. Just call 1-800-545-7238 or e-mail us with your request.

5. Arrive First
Try to ensure that you, as the group leader, arrive with the first members of your party to organize accommodation assignments, security deposits, and take care of any questions that may arise. If this is not possible, please appoint someone to take care of these details in your absence and be sure to go over everything carefully with them. .

IMPORTANT ORGANIZER INFORMATION
Within several days of making a reservation with us, you will receive a confirmation letter in the mail. On the top of this letter you will find your confirmation number. Please refer to this number in all correspondences with us. This letter will contain a complete outline of your reservation. Please read it carefully. If there are any mistakes or misunderstandings, you must contact us immediately, as it may be difficult to correct any problems at a later date. We deal solely with the group organizer regarding all aspects of each reservation. Please do not have individual members of your group call to make changes or payments. Although individual payments may be submitted online by completing the form provided there for your convenience. It is the group leader's responsibility to inform each member about all details and payment policies related to the trip.

Payment Policy

New River and Spring/Summer Gauley Trips

  • We require an initial deposit of $25 per person per day on the River within 14 days of making your reservation.
  • Full payment must be received no later than 45 days before your arrival date.
  • Cancellations for all New River and Spring/Summer Gauley River trips made at least 21 days in advance of your trip date will receive a full refund, less a $10 per person cancellation fee.
  • No refunds for reservations cancelled within 21 days of your trip.

Gauley Season Gauley River Trips

  • We require an initial deposit of $50 per person per day on the River within 14 days of making your reservation.
  • Full payment must be received no later than July 1, for all Gauley River trips scheduled for
  • September and no later for than August 1, for Gauley River trips scheduled for October.
  • Cancellations for all Gauley Season Gauley River trips made at least 21 days before your trip date will receive a full refund, less a $25 per person cancellation fee.
  • No refunds for reservations cancelled within 21 days of your trip.

Note: Please be aware that your reservation is not confirmed until your balance is paid in full.

Cancellations
Cancellations for New River, Spring/Summer Gauley and weekday Gauley River trips must be made in writing, or by confirmed verbal communication at least 7 days prior to your trip to receive a refund, less the non-refundable deposit. Trips canceled within 7 days will receive no refund.

Cancellations for weekend fall release dates on the Gauley River must be made at least 45 days before your trip date to receive a refund, less the non-refundable deposit. Trips canceled within 45 days will receive no refund.

In cases of proven medical or family emergencies with prior notification, we will issue a rain check, less the deposit, valid towards a similar trip in the future. No cash will be refunded.

Trip Transfers
Your confirmed reservation may be transferred to another date for a $15 administration fee if we receive notification at least 42 days (6 weeks) prior to the trip date, and have available space.

IMPORTANT INFORMATION FOR EVERYONE
Please feel free to photocopy the following information and distribute it to each member in your group. Be sure to familiarize yourself with your particular adventure package and know what's included, such as type of accommodations, check-in times, etc.

Safety First!
No Drugs or Alcohol On a Rivermen paddle raft trip everyone powers the raft, working as a team with their guide. For your safety and ours, no alcohol or drugs are permitted either before, or during the trip. (Alcohol is permitted in the evening on our 2-day overnight adventure trips.)

Waivers    Release Rorm (PDF)
We specialize in providing "highly exciting trips" and there is an element of danger present at all times. Everyone is required to sign a participant agreement form* before taking part in any adventure. This form is binding and you accept responsibility for any injuries or losses that may occur while on a trip with The Rivermen. Everyone under the age of 18 must have a participant agreement form signed by parent or legal guardian. Participation
We reserve the right to refuse anyone participation in any of our adventures because of physical or size limitation that, in our opinion, would expose that person to extreme risk. Our life jackets are Coast Guard (Class V) approved and rated for a maximum chest size of 52". Anyone under the influence of drugs, alcohol or demonstrating unruly behavior will be denied service, accommodations, and/or trip participation and will be ordered to leave without refund or compensation.

What we supply
We supply all watercraft, life jackets, helmets, paddles, professional Guides, shuttle to and from the River (and as always, cold drinks on the way back to base camp), and meals (when included) on a rafting adventure.

What you supply
You supply bathing suits (ladies may want to wear shorts over their bathing suit for comfort), sneakers, wool or polarfleece sweater, and windbreaker or rain suit. DO NOT wear cotton T-shirts, sweatshirts or jeans on the River as cotton wicks warmth from your body. A dry change of clothes and a towel should be waiting for you at the base following the trip. Always bring more clothes than you think you'll need. Our motto is "you can always take it off." Footwear must be worn at all times while on the River (sneakers, River sandals or soft-soled shoes). Please bring any personal medications with you on your adventure.

Wetsuits
Wetsuits are strongly recommended for any trip on the Gauley River and for New River trips before June 1st or after September 15th. During these periods conditions may exist when we deem wetsuits to be mandatory. Please plan ahead and either bring your own wetsuit or plan on renting one from us. Under most conditions a wetsuit will keep you warm and comfortable. On very cold days, you may wish to wear a wool or pile sweater and windbreaker over the suit. You may also wish to bring wool or neoprene gloves for additional comfort. A wool cap is also strongly recommended. DO NOT wear cotton T-shirts under your wetsuit. Cotton, when wet, stays cold; wool, polypropylene and modern synthetic thermal materials shed water and stay warm. Wetsuits are available for rental at base camp on the morning of your adventure.

Extras
You may want to bring extra money for pictures, videos, souvenirs, gratuities, etc.

Double Check Everything
Make sure you double-check all of your arrangements. If any problems arise, please contact us as soon as possible.

Be On Time!
Different trips are scheduled for different times. Double check your trip time; this is the time that your trip meets at the lodge. You should plan on arriving 30 - 45 minutes (minimum) before this time in order to take care of last minute details, get a wetsuit, etc. On busy days, we may only spend 15 minutes at the lodge before the bus leaves... don't miss the bus, or you may miss your boat!

ACCOMMODATIONS & CAMPING DETAILS

Book Early
We strongly advise you make any lodging reservations at the same time as your adventure trip to assure your preferred choice of accommodations.

Check-In \ Check-Out
Your group is free to check-in after 3 PM for all types of accommodations. Check-out time is before your adventure trip leaves in the morning, or 10 AM if you are not on an activity that day.

Ranch Rooms
Our rustic ranch rooms were built with convenience and economy in mind and sleep 6 people. These rooms do have heat but no AC. They are supplied with fresh linens, however, pillows, blankets, and towels are not provided, so bring them along. There are grills and large picnic tables for your convenience.

Cabin Tents
Our remodeled cabin tents have a wooden frame, metal roof, canvas sides, and are built on sturdy wooden platforms. Each cabin tent sleeps up to eight in bunk beds and comes equipped with a charcoal grill and picnic table. Just bring a sleeping bag, pillow, and towel and you’re all set! Campgrounds & Noise We strictly enforce a quiet "curfew" of 11:00 PM in all of our accommodations.

Anyone who repeatedly ignores the curfew and our requests for quiet will be asked to leave without refund or compensation and the police will be notified. Please read all campground rules (listed below & posted).

Campground Rules

  1. Quiet time in campground is from 11:00 PM to 6:00 AM.
  2. Camp in your assigned campsites only.
  3. Speed limit is 5 mph at all times.
  4. The lodge and bar will be open till 1:00 PM Friday and Saturday nights. To avoid noise and disturbance to other campers, please party at the lodge.
  5. Do not park your car in campsites other than those assigned to your group.
  6. The woods are considered out of bounds and private property! Do not stray out of bounds. You will be considered a trespasser by land owners. Note: Hiking and biking trails are available outside our campground. Ask for directions.
  7. Be on time for your trip departure or you may miss the boat!
  8. No discharging of firearms or fireworks.
  9. No cutting of trees. Firewood is available at the lodge.
  10. If you need assistance check with the campground manager.
  11. Nearest pay phone is by the men's restroom. Firewood Firewood is available for purchase at the lodge. Please, do not cut down trees or branches, or burn railroad ties and picnic tables.

Campground Manager
We have a full-time Campground Manager (refer to map) on site, who is available for your assistance as well as to enforce all campground rules.

Partying Late
Those wishing to party late (after 11:00 PM), should do so at the lodge, which closes at 1:00 AM. We request that anyone returning to their accommodations, or those arriving late, to be especially quiet for the sake of their neighbors trying to sleep.

Pets
We are sorry, but pets are not allowed to be unattended at any time, and they must be on a leash at all times. We strongly suggest that you leave them at home.

Valuables
Please lock all valuables in the trunk of your vehicle and bring your keys to the lodge before your trip departs. We are not responsible for stolen items. Please take care.
